Overflow Hotels

We have two overflow hotels:

  1. The Marriott London Heathrow, located about 250 metres along Bath Road from the main convention hotel. This is where the family rooms are. Since this is our first hotel, there are only a small number of rooms left. All the rooms in this hotel are family rooms, each having two double beds.
  2. The Renaissance London Heathrow, situated approximately three hundred metres from the main entrance to the Radisson on the other side of Bath Road. There are two light controlled pedestrian crossings across Bath road with dropped curbs to allow easy transit. This is our second hotel, added in January 2008. The rooms are well appointed and some overlook Heathrow's nearest runway (don't panic, the hotel is very well sound insulated and it's at least a couple of hundred metres!).

What's in a name?

There's some potential confusion, so pay attention:

  1. Both overflow hotels are part of the Marriott chain, but one is called the Marriott, while the other is called the Renaissance
  2. "Renaissance" (an overflow hotel) isn't hugely dissimilar as a name from "Radisson" (the main hotel), in hurried conversation or skim-reading.
So make sure you know which hotel is which.

For a five night period (Thursday 20th March to Monday 24th March, checkout Tuesday 25th March), we have a limited block of rooms available. In the Marriott, the block is held for us until 1st February 2008. In the Renaissance, you could conceivably book a room up to ten days before the convention, but given the limited availability and how quickly rooms have gone, we don't recommend you rely on this, as there may be none left.

Booking Rooms in the Overflow Hotels

Orbital is not handling the hotel bookings for the Marriott or Renaissance; you have to contact them directly. There are two rate codes for each hotel (phone versus on-line) - please use the correct rate code when you make your booking.

Please be aware:

  • You are responsible for settling your own account on departure, which will also include any parking that may be used.
  • If you book accommodation in the overflow hotel but do not turn up, a no show charge will be made to your credit card.
  • The booking system for Marriott hotels quotes prices that do not include tax. See below.

Hotel Prices and Tax

As of December 2007, the Marriott chain had recently undergone a change in their booking systems, which affected how room rates were displayed, when you booked on-line. This makes it appear that you can get cheaper rooms by not quoting the Convention group code, but this is not the case:

  1. The website is quoting prices that do not include tax. Before your booking is complete, VAT will be added at the standard rate. Thus, rooms that appear cheaper without the Convention code will cost more by the end of your booking.
  2. Similarly, if you've entered the Convention code, you'll be quoted a cheaper price; by the end of your booking, the room will match the prices we've given above.
  3. The Convention codes are for a rate that includes breakfast. Not all the other rates for the overflows include breakfast. So you may see a rate that looks cheaper, but will be more expensive overall because breakfast will be an additional cost.

Car Parking

The London Heathrow Marriott does have car parking, at the rate of of £7.00 per twenty-four hour period.

The Renaissance London Heathrow Hotel has car parking, at £10 per twenty-four hour period.
